Helpful Room Scheduling Tips
Cancelling a meeting: Email us at av-rooms@ucsd.edu. Please include your Request # and/or date, time, room, title of your meeting. Also let us know if you have any AV reserved.
Adding Audio-Visual: If you need AV for an existing room reservation, fill out this form or email av-rooms@ucsd.edu.
Events Calendar: You can now have your reservations added to the UCSD Calendar of Events. To have your event added, please fill out this form
and send back to us.
Processing Time: Due to the daily varying volume of requests, it may take anywhere from 2 to 48 hours to process your request. If your event is for today or early tomorrow, call us at 858-822-5741.
If your request is for a recurring meeting, it make take a little bit longer than 48 hours. If your request is submitted during our Standing Meeting renewal period (Mar-Jun), it may take up to 3 weeks to process your recurring meeting requests.
Renewing Standing Meetings: You can begin renewing standing meetings in March. You need to submit an online room request making sure it has the following information: room, meeting time, contact info (name, phone, email address), # of Attendees, and most importantly- Meeting Pattern (i.e. every Wednesday, 1st Tuesday of the Month, etc). It would be greatly appreciated if the word "Renewal" was typed in either the Recurrence field or the "Addidtional Information" field.
Please also type any known exceptions (due to Holidays or other circumstances), or other specific needs in the "Additional Information" field. Please indicate what AV needs you have, if any. This will ensure that your current AV service will continue. If no AV is selected, there will be no AV order processed.
