Web Portal - Calendar Export/Import
While using the Web Portal calendar, you may:
- Export a date range from one or more Calendars
- Export a single event from the event detail view
- Import an exported iCal file into Outlook
- Import an exported iCal file into Google Calendar
Export a date range from one or more Calendars
To begin, click the export tab just above the calendar. There are four steps (see Figure 1 below):
- Choose one or more calendars from the select box. To choose multiple calendars, hold the Ctrl key on your keyboard and click (or Option + Click for Mac users).
- Either choose a month/year from the select drop-down OR enter a date range. You must use the format mm/dd/yyyy.
- Select a download format. iCal is recommended for most applications including Microsoft Outlook and Google Calendar.
- Click the download button. You will be prompted to choose whether to open or save the file. If you are downloading an iCal file, you should save the file to your computer and then Import using your preferred calendaring software, otherwise only the first event listing may be imported.

Export a single event from the event detail view
You may download a single event from the calendar which is a good way to update events whose dates, times or details have changed. Simply click an event title within the calendar to view the event detail and click the link to iCal download for Outlook, etc at the bottom of the event panel. (see figure 2) Instructions below detail Importing events into Outlook or Google Calendar.

Import an exported iCal file into Outlook

- Choose File then Import and Export... from the drop-down menus in Outlook.
- Choose Import from another program or file from the options in the dialogue box. Click Next.
- Locate the file you saved earlier on your computer.
- Check your calendar to make sure the events imported correctly. Please note that events are subject to change and that you are responsible for checking the live calendar on the Web Portal frequently!
Import an exported iCal file into Google Calendar
Because Google Calendar supports multiple calendar instances, we recommend creating a unique calendar just for your UCSD SOM events. By isolating events into unique calendars you can later delete and re-import updates more easily. Follow the instructions below after logging in to Google Calendar:
- Click Settings in the upper-right of the browser next to the Sign out link.
- Click Import Calendar and complete all three steps.
- Select the file you downloaded earlier.
- Choose a calendar to import into.
- Click the Import button to complete the process.
