Elective Residency Position

Please direct any questions concerning the following procedures to Ann Zultner Email or Cindy Slaughter Email.

  1. The Program Coordinator will verify:
    • Applicant's California medical licensure status
    • Proof of professional liability insurance from applicant's full-time training program. [Any waiver of this requirement must be approved, in writing, by the UCSDMC Department Chair]
  2. The Program Director will write a letter of recommendation to GME to request appointment. The letter will note:
    • Applicant's present position
    • Proposed activity within the UCSD department
    • Appointment date
    • Licensure status in this state
  3. The Program Coordinator will provide the following:
    • Letter of good standing signed by the training program director in the applicant's full-time GME training program
    • Enter in New Innovations - Block Scheduling module
    • Medical school diploma
    • Applicant's training program's current ACGME accreditation letter
  4. The Program Coordinator will process ALL applicable employment forms with the new appointees before the new trainee's appointment start date.
  5. Once all documents below are received, please forward a copy of the entire document packet to Dion Brown (please do not send incomplete packets):
    • Proof of applicant's professional liability insurance
    • Letter of recommendation from UCSD training program
    • Letter of good standing signed by the training program director in the applicant's full-time GME training program
    • Trainee's medical school diploma
    • Applicant's training program's current ACGME accreditation letter
    • Provide applicant's email address
  6. The Clinical Department will enter the appointment data into the Payroll Personnel System (PPS).
    • Data on new hires may not be entered more than 60 days prior to the effective date of the action.
  7. If the applicant will be scheduled for rotation to the VA Medical Center during their elective residency, the clinical department will:
    • Annotate its current VA TQCVL letter and roster to add the elective resident
    • Email the revised TQCVL and roster to Sandra Bee and Cindy Slaughter . Please note in the email that the attached TQCVL has been updated to include the elective resident.
    • Prepare an original of the TQCVL on department letterhead and obtain the Department Chair's signature on the document. Please send the original chair-signed paper copy to Sandra Bee, mail code 9142. Faxed documents will not be accepted.
  8. As an elective resident, the applicant will:
    • Pay administration fee of $250 if documents are received by OGME more than 30 days prior to the start of rotation and $350 if less than 30 days before the start of rotation
    • Be appointed as a nonsalaried Resident Physician 1 through 9
    • Not be eligible for participation in the housestaff group health insurance program
    • Provide his/her own uniforms
  9. When the above steps are completed, Graduate Medical Education will do the following:
    • Contact the appointee to schedule their GME registration on the first day of their rotation.
    • Provide the trainee with a physician ID number and access to the Medical Center's computer system.
    • Register the trainee, as needed, with the Medical Board of California
    • Maintain an academic file on the appointee
